Introduction
Otapp TZ is seeking a well-organized and detail-oriented Administrator and Office Operations professional to support the smooth functioning of its daily office activities. The role is responsible for ensuring efficient front office operations, workplace coordination, administrative support, and facilities management to maintain a professional and productive work environment.
The successful candidate will play a key role in supporting both staff and management through effective coordination of administrative systems, office resources, and internal processes. This position requires strong organizational skills, professionalism, and the ability to manage multiple responsibilities in a fast-paced office setting.
Responsibilities
- Manage front office and reception operations to ensure a professional experience for visitors, clients, and stakeholders.
- Handle incoming calls, correspondence, and visitor records in an organized and efficient manner.
- Coordinate day-to-day office administrative and workplace operations.
- Maintain accurate records, filing systems, and administrative documentation.
- Support office facilities management, including maintenance and service provider coordination.
- Assist executive and management teams with scheduling, meeting coordination, and administrative follow-ups.
- Prepare reports, meeting minutes, presentations, and other administrative documents.
- Manage office assets, inventory, supplies, and procurement requests.
- Monitor office expenses and support budget tracking and cost control activities.
- Coordinate procurement processes in line with company policies and procedures.
- Support implementation of workplace health, safety, and compliance standards.
- Assist with onboarding processes and workplace setup for new employees.
- Organize internal meetings, events, workshops, and staff engagement activities.
- Maintain an organized, clean, and efficient office environment.
- Liaise with different departments to support smooth operational workflow.
- Perform any other administrative duties assigned by management.
Qualifications
- Diploma or Bachelor’s degree in Business Administration, Human Resources, Office Management, or a related field.
- Minimum of 2 years of experience in office administration, front office management, or workplace operations.
- Experience in reception duties, administrative coordination, or executive support roles.
- Strong organizational and planning skills with attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools.
- Ability to prepare reports, documents, and administrative records accurately.
- Excellent communication and interpersonal skills.
- Ability to multitask and manage competing priorities effectively.
- High level of professionalism, confidentiality, and accountability.
- Basic knowledge of occupational health and safety (OHS) practices.
