Full Job Description

The Weights and Measures Agency (WMA) is an Executive Agency under the Ministry of Industry and Trade responsible for regulating weights and measures standards in Tanzania. Established under the Executive Agencies Act, Cap. 245, the Agency plays a vital role in ensuring fairness, accuracy, and transparency in trade and commercial transactions through inspection, verification, and enforcement of legal metrology standards.

As part of its commitment to supporting youth development and providing practical workplace exposure to graduates, WMA invites applications from qualified, competent, and self-motivated Tanzanians to fill One (1) volunteer position for the post of Records Management Assistant II. The opportunity is aimed at equipping graduates with hands-on experience in records and archives management within the public sector environment.

The Records Management Assistant II will support records administration, document handling, and mail management activities within the Agency. The role requires individuals who are organized, trustworthy, and capable of maintaining proper filing and records systems to support efficient office operations and information management.

Key Responsibilities:
• Search and locate records, documents, and files for office use
• Control and register incoming and outgoing mails
• Analyze, list, and arrange records and documents according to subject classification and boxing procedures
• Keep letters and documents in their respective files and storage racks
• Handle applications for records and documents from Government institutions
• Distribute files and documents to respective officers
• Manage dispatch books and related records movement systems
• Perform any other related duties as may be assigned by supervisors

Qualifications and Experience:
• Holder of Diploma in Records Management, Records and Archives Management, Corporate Information Management, or equivalent qualifications from a recognized institution
• Good organizational and document handling skills
• Ability to maintain confidentiality and accuracy in records management
• Good communication and interpersonal skills
• Computer literacy and ability to work with office filing systems
• Ability to work independently and as part of a team

General Conditions:
• Applicants must be Tanzanian citizens aged between 18 and 35 years
• Applicants must attach an up-to-date Curriculum Vitae (CV) with reliable contacts, including postal address, email address, and telephone numbers
• Applicants must attach certified copies of academic and professional certificates, academic transcripts, and birth certificates
• Applicants must have two guarantors who are Public Servants
• Applicants must attach an introduction letter from the Village/Street Executive Officer or relevant Local Government Authority
• Applicants must be willing to volunteer in the respective assigned area
• Applicants must attach a copy of the National Identification Card (NIDA)
• Applicants must not have been convicted by any Court of Law for criminal or disciplinary offences and must possess good conduct and acceptable moral character within the community
• Applicants must not have been employed by any Public Institution since graduation
• Testimonials, Provisional Results, Statements of Results, and Form IV and Form VI Results Slips shall not be accepted
• All foreign academic certificates must be recognized by the relevant authorities, namely TCU, NECTA, or NACTVET. Applicants applying for positions requiring a specific GPA must attach a GPA Calculation Certificate issued by TCU
• The volunteering programme is strictly intended for skills development and acquisition of work experience and shall not be construed as a basis for automatic employment in the Public Service
