Job Summary

The Stock Accountant will be responsible for ensuring effective inventory management, accountability, and accuracy of all commodity movements across service delivery channels. The role focuses on strengthening internal controls, preventing stock losses and expiries, and maintaining real-time visibility of inventory levels to support uninterrupted service delivery.

The position also ensures reconciliation between commodity utilization recorded in CLIC systems and financial balances reflected in SUN System records, with the objective of eliminating stock write-offs.

Key Responsibilities

1. Inventory Control Systems Management

Develop and implement inventory control strategies to minimize losses, generate savings, and optimize utilization of essential commodities.
Establish and maintain written procedures for inventory control processes.
Prepare and implement work plans for regular stock counts.
Ensure a functional and effectively utilized inventory control system.

2. Stock Control

Manage and maintain commodity inventory records, including stock profiles and locations.
Work closely with Outreach and Clinic Leads to ensure daily stock updates.
Maintain and update price lists for pharmaceutical items to ensure accurate valuation.
Conduct monthly reconciliation of stock status and utilization reports across CLIC and Inflow systems.
Investigate variances and recommend corrective action.
Prepare monthly commodity reconciliation reports for the Executive Team.
Review inventory orders and distribution records for accuracy and follow up on discrepancies.
Minimize overstocking and prevent expiries, damages, and losses.
Conduct routine monitoring visits to Centers and Outreach teams to verify proper BIN and stock card updates.
Coordinate stock checks with Finance, Clinic, and Outreach teams.
Train and coach staff on inventory documentation and control procedures.

3. Collaboration and Stakeholder Engagement

Align procurement planning with stock requirements to ensure timely supply.
Collaborate with Finance and program teams to validate stock usage and ensure reconciliation between drug usage, reported services, and cash collections.
Ensure compliance with donor and regulatory requirements through transparent reporting.

Minimum Qualifications

Bachelor’s degree in Accounting, Finance, Supply Chain Management, or related field.
Professional certification such as CPA (T), ACCA, PSPTB, or equivalent is required.
Minimum three years of experience in inventory management and/or accounting.
At least two years of audit experience in an auditing firm.
Strong understanding of inventory control systems.
Knowledge of donor-funded health programs.
Experience managing medical supplies or pharmaceuticals is an added advantage.
Training in internal control systems is an added advantage.

Fluency in written and spoken English.
