About the Location
Located in the heart of the Central Serengeti, the lodge offers a luxury safari experience within one of the world’s most renowned wildlife ecosystems. Positioned near a natural watering hole and approximately 45 minutes from Seronera Airstrip, the property features 77 rooms including suites and villas, multiple dining venues, a Discovery Centre, Kids Club, spa facilities, fitness center, and curated wildlife safari experiences.
The Reservations Agent is responsible for managing all aspects of lodge reservations, maximizing revenue through effective selling techniques, and ensuring accurate recording of bookings. The role requires capturing sales from incoming calls and correspondence, coordinating reservation details, and ensuring guest satisfaction in line with company standards.
Essential Responsibilities
Manage incoming reservation calls and correspondence in compliance with company standards.
Respond to reservation emails and support digital communication platforms where required.
Complete reservation forms and ensure accurate system input.
Maintain complete and accurate guest profiles, including VIP and special attention notes.
Ensure billing instructions and payment details are correctly recorded.
Run daily operational and sales reports for management and relevant departments.
Handle guest complaints professionally and escalate where necessary.
Process various reservation types including internal, trust, and FIT bookings.
Confirm or guarantee non-guaranteed reservations and clear waitlisted bookings.
Review reports for special requests and ensure appropriate room blocking.
Communicate VIP and special guest details to management and operational teams.
Coordinate with Front Desk to address reservation discrepancies.
Clarify guest preferences and requests prior to arrival.
Assist with group bookings, rate code creation, cut-off date monitoring, and group file management.
Ensure compliance with grooming standards, conduct policies, and operational procedures.
Participate in safety training, crisis management protocols, and health and safety programs.
General Responsibilities
Deliver outstanding guest service at all times.
Respond promptly to inquiries in a professional and friendly manner.
Attend required operational meetings.
Follow occupational health and safety procedures.
Support other operational departments when required to maintain service standards.
Additional Duties:
Support Safety and Green Committee initiatives.
Assist Sales and Marketing with guest inquiries and site inspections when necessary.
Provide support to Front Desk and PBX operations when required.
Perform other duties as assigned by management, including temporary reassignment based on operational needs.
Qualifications and Requirements
Relevant Diploma or Degree in Hotel or Tourism Management, or equivalent experience.
One to two years of experience in a similar role within Four Seasons or another five-star hospitality organization.
Strong written and spoken English communication skills.
High level of professionalism, organization, and attention to detail.
Ability to work collaboratively in a multicultural luxury hospitality environment.
Must be a local candidate. No visa sponsorship available.
