Full Job Description
The World Food Programme (WFP) is recruiting an HR Assistant (WFP Volunteer) based in Dar es Salaam to support the implementation of Human Resources policies, procedures, and administrative processes. The role is designed to strengthen efficient and client-focused HR service delivery within a dynamic humanitarian organization. It provides exposure to HR operations, recruitment systems, employee relations, and administrative HR support functions.
The HR Assistant will contribute to the smooth execution of HR services by supporting recruitment, onboarding, employee records management, HR reporting, and general HR administration. The role plays an important part in ensuring accuracy, confidentiality, and compliance within HR systems and processes.
Responsibilities
- Respond to general HR inquiries and provide timely follow-up support
- Assist in delivering consistent and high-quality HR services to staff
- Provide administrative and operational support for HR activities
- Support recruitment and selection processes including coordination of interviews
- Assist in onboarding and induction of newly recruited employees
- Prepare recruitment-related documents, reports, and correspondence
- Maintain confidential personnel files and employee records
- Update and manage HR databases and archival systems
- Ensure accurate storage, retrieval, and maintenance of employee information
- Draft employment contracts, transfer letters, training documents, and HR correspondence
- Ensure accuracy and timely completion of all HR documentation
- Extract, compile, and analyze HR data for reporting purposes
- Support HR analytics related to recruitment, contracts, entitlements, performance, and training
- Enter and update data in HR information systems
- Monitor key HR deadlines such as contract expirations and performance evaluations
- Ensure compliance with HR policies, procedures, and standards
- Support staff deployment and administrative HR coordination
- Assist in workforce planning and emergency response HR support
- Liaise with internal departments regarding payroll, contracts, and HR administration
- Support training coordination and knowledge sharing activities
- Provide administrative support to HR team members as required
Qualifications
- Completion of Secondary School Education
- Post-secondary certificate, diploma, or training in Human Resource Management, Business Administration, Public Administration, Office Administration, or related field
- Strong understanding of HR administrative processes and procedures
- Experience in HR support functions including recruitment, onboarding, payroll, or records management (preferred)
- Familiarity with HR databases and HRIS systems
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
- Strong organizational and record-keeping skills
- High attention to detail and accuracy
- Ability to maintain confidentiality of sensitive information
- Strong communication skills (written and verbal)
- Ability to interact professionally with staff and stakeholders
- Strong interpersonal and teamwork abilities
- Ability to work in a fast-paced, multicultural environment
