Full Job Description

The World Food Programme (WFP) is recruiting a Volunteer – Management Services based in Dar es Salaam to provide essential administrative and operational support to internal staff. The role focuses on ensuring smooth day-to-day office operations, efficient communication flow, and effective management of administrative services within a humanitarian work environment.

This position supports core office functions such as correspondence handling, document management, courier coordination, meeting support, and general administrative assistance. It is designed for individuals interested in gaining experience in international humanitarian operations and office management within a large global organization.

Responsibilities

  • Serve as the first point of contact for internal inquiries and administrative requests
  • Respond to routine staff inquiries and escalate complex issues when necessary
  • Coordinate courier and shipment services for incoming and outgoing documents and parcels
  • Receive, record, track, and dispatch official mail and packages
  • Maintain accurate logs of courier activities and shipment records
  • Liaise with courier companies and internal departments to ensure timely deliveries
  • Communicate delays or issues in shipments to relevant stakeholders
  • Draft, format, and proofread official documents and correspondence
  • Prepare routine communication materials and internal notices
  • Maintain organized filing systems, records, and document archives
  • Ensure proper documentation standards and record-keeping procedures
  • Schedule meetings, appointments, and internal sessions
  • Prepare meeting rooms and required materials prior to meetings
  • Take and distribute meeting minutes in a timely manner
  • Coordinate logistical arrangements for meetings, including refreshments
  • Provide administrative support for office events and internal activities
  • Support the Management Services team in daily operations
  • Provide backup support across administrative functions when required
  • Contribute to maintaining a professional and well-organized office environment

Qualifications

  • Bachelor’s Degree in Business Administration, Office Administration, Public Administration, Office Management, or related field
  • Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • Basic knowledge of office administration procedures and systems
  • Excellent organizational and time management skills
  • Strong attention to detail and accuracy in documentation
  • Good written and verbal communication skills
  • Ability to interact professionally with internal and external stakeholders
  • Strong interpersonal and teamwork skills
  • Ability to work in a fast-paced, multicultural environment
  • High level of integrity, confidentiality, and professionalism
  • Ability to prioritize tasks and meet deadlines consistently
  • Initiative, adaptability, and willingness to learn
  • Strong record management and administrative coordination skills
  • Fluency in English (required for Tanzania duty station)
