DHL Supply Chain Tanzania Limited is looking to hire an Office Assistant to provide professional front office support, office administration, HR coordination, finance support, and travel logistics management in Dar es Salaam. The role requires strong organizational, communication, and administrative skills to ensure smooth daily office operations.

Duties and Responsibilities

  • Professionally receive and assist customers and visitors at the reception area.
  • Ensure all visitors are properly signed in and issued identification where required.
  • Handle inquiries and route messages to the appropriate departments.
  • Maintain a positive, professional, and supportive office environment.
  • Arrange meeting rooms and ensure required equipment is available.
  • Monitor and manage office supplies inventory and reorder items when necessary.
  • Ensure office spaces remain clean, safe, and operational.
  • Ensure compliance with office policies, company procedures, and legal regulations.
  • Manage stationery and office consumables.
  • Liaise between executives, regional managers, depot managers, and warehouse staff.
  • Coordinate meetings, conferences, and corporate events.
  • Organize workflow, prepare correspondence, and record meeting minutes.
  • Support HR administrative activities and training coordination.
  • Monitor HR projects and provide secretarial support.
  • Support invoice processing and tracking of office-related expenses.
  • Assist with reimbursements and related financial documentation.
  • Arrange travel bookings, accommodation, and transportation for staff and visitors.
  • Prepare travel itineraries and coordinate bookings for managers and guests.

Job Requirements

Education

  • Graduate degree qualification.
  • HR certification or equivalent qualification will be an added advantage.

Experience

  • Minimum of 2 years’ experience in:

    • Front office management
    • HR administration
    • Executive secretarial roles
    • Or related administrative positions.

Skills and Competencies

  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Professional customer service and front office handling skills.
  • Ability to coordinate multiple tasks effectively.
  • Strong attention to detail and confidentiality.
