Responsibilities
- Establish, maintain, and manage physical and electronic credit files for lending facilities.
- Ensure required credit documents are properly filed, indexed, labelled, and organized.
- Verify the completeness and accuracy of documents before filing.
- Escalate missing or incomplete documentation to the relevant stakeholders.
- Maintain an up-to-date credit files register and database.
- Safeguard securities and collateral documents against loss, damage, unauthorized access, or misplacement.
- Maintain an accurate securities database containing customer, facility, security, property, and documentation information.
- Conduct periodic inspections of securities files and storage facilities.
- Monitor the movement of credit files through a controlled file-tracking system.
- Ensure proper authorization and accountability when files are accessed or moved.
- Protect confidential customer information in accordance with information security and data privacy requirements.
- Conduct periodic file inspections and reconciliations.
- Monitor the movement of securities through the security register.
- Implement controls that minimize operational risks associated with securities and credit file management.
- Ensure security documents are properly executed, signed, perfected, and maintained.
- Maintain efficient filing and retrieval systems for credit files and securities documents.
- Retrieve and provide records to authorized internal users, auditors, regulators, and other stakeholders.
- Coordinate the archiving and disposal of credit records in accordance with retention schedules and regulatory requirements.
- Ensure archived records are properly catalogued and easily retrievable.
- Provide accurate securities documentation to authorized stakeholders when required.
- Ensure compliance with Bank policies, procedures, regulatory requirements, and records management standards.
- Identify and report records management risks, control weaknesses, and documentation exceptions.
- Support internal and external audits by providing requested records and documentation.
- Assist in implementing controls to reduce operational risks associated with credit file management.
- Prepare reports covering file inventory, file movements, missing documents, archived records, and outstanding exceptions.
- Participate in records management improvement initiatives and digitization projects.
- Support business continuity and document recovery activities.
- Prepare reports on securities inventory, document movements, exceptions, and outstanding issues.
- Perform other duties assigned by management.
Qualifications Required
- Minimum of 4 years of experience in records management, document administration, credit administration, banking operations, or a related field.
- Experience managing credit files, customer documentation, or banking records within a financial institution is highly desirable.
- Experience with electronic document management systems and records databases is an added advantage.
- Sound understanding of records management principles and practices.
- Knowledge of banking operations, credit administration processes, and documentation requirements.
- Understanding of regulatory, audit, and compliance requirements related to record keeping.
- Strong attention to detail and accuracy.
- Excellent filing, indexing, and document control skills.
- Strong organizational and time management abilities.
- Good analytical and problem-solving skills.
- Proficiency in Microsoft Office applications and records management systems.
- Ability to maintain confidentiality and handle sensitive information with integrity.
