Job Description

NMB Bank Plc is seeking to recruit a qualified Executive Assistant to Chief Technology & Digital Transformation to provide high-level executive, administrative, financial planning, and coordination support within its Technology & Digital Transformation division. The successful candidate will play a key role in supporting the Chief Technology & Digital Transformation by ensuring effective budget monitoring, office coordination, stakeholder management, and documentation to facilitate the successful execution of departmental strategic priorities.

This position is ideal for a highly organized and analytical professional with experience in financial planning, ICT administration, and executive support. The role requires strong communication, confidentiality, multitasking, and coordination skills to support technology initiatives while ensuring efficient resource planning, reporting, and operational excellence.

Responsibilities:

  • Review monthly administrative departmental budgets against actual expenditures and identify areas of concern.
  • Coordinate monthly and quarterly budget meetings across departmental sections.
  • Verify budget availability and charge codes before recommending requisitions and payment requests.
  • Collaborate with department managers and the Finance Department to prepare annual OPEX and CAPEX budgets.
  • Review operational and financial records and recommend process improvements.
  • Conduct research and prepare forecasts on future financial and business conditions affecting technology and operations.
  • Analyze budget performance by comparing actual and planned expenditures.
  • Conduct cost-benefit analyses and develop financial models to support management decision-making.
  • Monitor departmental budgets and support the implementation of budget monitoring and control policies.
  • Prepare management reports for the Executive Committee (EXCO) on departmental finances and initiatives.
  • Assist cost center managers in budget preparation and interpretation.
  • Coordinate and consolidate analytical reports and presentations for the Chief Technology & Digital Transformation.
  • Compile routine and ad hoc reports as required.
  • Coordinate departmental performance management meetings and consolidate performance scorecards.
  • Track departmental commitments and ensure timely follow-up on action items.
  • Serve as the first point of contact for internal and external stakeholders.
  • Manage the Chief Technology & Digital Transformation’s calendar, appointments, interviews, and meetings.
  • Facilitate departmental management meetings, record minutes, and monitor action items until completion.
  • Support Heads of Department in coordinating workflows and project pipelines.
  • Maintain confidential records and manage departmental documentation with discretion.

Qualifications required:

  • Bachelor’s Degree in Accounting, Finance, Information Systems, or a related field.
  • Minimum of three years’ experience managing ICT budgets and ICT administrative functions related to Supplier Relationship Management (SRM), Human Resources, and Finance.
  • Experience working independently and collaboratively within teams.
  • Ability to quickly learn, understand, and apply new technologies.
  • Solid knowledge of office administration practices and procedures.
  • Excellent written and verbal communication skills.
  • Strong customer service and stakeholder relationship management skills.
  • Ability to communicate complex issues clearly and effectively.
  • Strong multitasking, organizational, and attention-to-detail skills.
  • Experience working in dynamic and fast-paced environments.
  • Ability to manage highly confidential information with professionalism.
  • High level of personal organization and self-management.
