Job Description
Elegex Logistics Limited is seeking a professional and highly disciplined Documentation & Communication Officer to join its team in Dar es Salaam. This full-time, office-based role is responsible for managing digital client communication channels, maintaining accurate operational documentation, and ensuring timely, professional communication with clients throughout the logistics process.
The successful candidate will play a critical role in protecting client relationships by coordinating verified operational updates, managing conflict resolution during transit disruptions, maintaining comprehensive documentation records, and supporting seamless communication between internal operations teams and customers. The position requires excellent communication skills, emotional intelligence, and the ability to perform effectively under pressure.
Responsibilities
- Serve as the administrator and primary communication representative across official client WhatsApp groups and corporate communication channels
- Manage live client communications during operational conflicts, transit delays, border issues, and cargo discrepancies
- Maintain a professional, calm, and customer-focused communication approach
- Provide timely and accurate shipment tracking updates and milestone reports to clients
- Coordinate with the Operations and Ex-Dar Cargo teams to verify operational information before issuing client updates
- Maintain accurate records of client communications, dispatch files, and operational exceptions
- Build and maintain comprehensive documentation audit trails
- Respond to client complaints and operational issues within 15 minutes during business hours
- Ensure full compliance with company communication standards
- Minimize client escalations during operational disruptions and transport bottlenecks
- Digitize, scan, upload, and distribute operational documents across relevant platforms
- Verify all milestone updates and delay notifications using internal operational records before communicating with clients
- Review and audit official client communication group memberships regularly to ensure only authorized representatives have access
- Support effective communication between internal teams and external stakeholders
- Perform additional documentation and communication duties as assigned
Qualifications Required
- Bachelor’s Degree or Diploma in Logistics and Transport Management, Public Relations, Communications, Business Administration, or a related field
- Previous experience in logistics customer service, transit tracking, clearing and forwarding, or documentation roles
- Experience managing high-volume client communication channels
- Exceptional proficiency in digital communication platforms
- Proficiency in WhatsApp Business tools
- Experience using database platforms
- Proficiency in Microsoft Office applications
- Excellent verbal and written communication skills in both English and Swahili
- High emotional intelligence
- Ability to remain calm, objective, and professional under pressure
- Strong problem-solving and conflict-resolution skills
- Excellent organizational and documentation abilities
- Strong attention to detail and accuracy
