Barrick is seeking a qualified Administration Officer to join its operations team in Kahama, Tanzania. This role is designed for professionals who are highly organized and experienced in office administration, travel coordination, and logistical support within a large and dynamic organization.

The successful candidate will be responsible for coordinating daily administrative operations, managing travel and transportation arrangements, and ensuring smooth office support services across multiple mine sites and regional teams. The role requires strong attention to detail, excellent communication skills, and the ability to work independently in a fast-paced environment.

Responsibilities

  • Maintain a strong safety culture in line with Barrick’s Journey to Zero initiative.
  • Collect, review, and process travel requests including approvals, purpose, and scheduling.
  • Advise staff on travel options, routes, and cost-effective arrangements.
  • Ensure all bookings comply with organizational travel policies.
  • Prepare daily travel itineraries including flights, accommodation, and ground transport.
  • Book and confirm flights, accommodation, and airport transfers.
  • Coordinate with travel agents, airlines, hotels, and transport providers.
  • Supervise drivers and ensure all transport arrangements are properly executed.
  • Prepare and distribute transfer plans to drivers and stakeholders in advance.
  • Monitor ticketing deadlines, fare changes, cancellations, and travel updates.
  • Maintain accurate travel records, itineraries, and staff movement logs.
  • Coordinate charter flight manifests and related logistics arrangements.
  • Communicate changes in travel schedules to relevant stakeholders.
  • Monitor travel advisories and inform staff of risks or restrictions.
  • Support logistics for meetings, workshops, recruitment, and events.
  • Track staff movements during field missions for safety purposes.
  • Coordinate office facilities including cleanliness, consumables, and access control.
  • Ensure office health, safety, and compliance requirements are met.
  • Maintain first aid kits and ensure adequate supplies are available.
  • Coordinate meeting room bookings, setups, refreshments, and visitor services.
  • Supervise reception, security personnel, and office access management.
  • Maintain proper filing systems and administrative records (digital and physical).
  • Perform any additional administrative duties assigned by supervisors.

Qualifications

  • Diploma in Business Administration, Office Administration, Travel & Tourism, Logistics, or a related field.
  • Minimum of 2 years’ experience in administration, travel coordination, transportation, or office support.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
  • Strong knowledge of administrative and travel coordination systems.
  • Good understanding of information technology tools used in office operations.
  • Strong work ethics and commitment to safety standards.
  • Ability to work independently with minimal supervision.
  • Excellent organizational and multitasking abilities.
  • Strong oral communication skills in both Kiswahili and English.
  • Excellent written communication skills in Kiswahili and English.
  • Strong attention to detail and accuracy in documentation.
