Transport Control Administrator at Vector Logistics

Vector Logistics is seeking a Transport Control Administrator for a permanent position based in Nelspruit. The role supports the company’s temperature-controlled supply chain operations by coordinating vehicle dispatches, route assignments, driver documentation, and daily transport administration.

The successful candidate will help mitigate operational risk by ensuring vehicles and drivers are correctly dispatched, monitoring route and vehicle performance, and completing driver debriefing procedures when vehicles return to the depot. The position also requires accurate recordkeeping and effective coordination with tracking and transport teams.

Responsibilities include:

• Administer and monitor daily system route allocations.
• Ensure vehicles are dispatched according to established business processes.
• Issue drivers with required documentation and equipment, including vehicle keys, fuel cards, thermometers, and navigation tools.
• Check that company resources and staff meet required standards using the Daily Vehicle Checklist.
• Verify that the Tracking tripsheet accurately reflects the driver, vehicle, and other resources before departure.
• Monitor real-time fuel consumption, speeding, braking, and other vehicle performance exceptions.
• Record route exceptions on the Tracking system before vehicles return to the depot.
• Liaise with Tracking and road execution teams regarding route activities.
• Retrieve and review debrief documents and Daily Vehicle Checklists.
• Debrief drivers when they return to the depot.
• Discuss, resolve, and record transport-related exceptions.
• Inspect returning vehicles for damage or other issues using the Daily Vehicle Checklist.
• Obtain driver signatures on trip sheets, debrief documents, and vehicle checklists.
• Collect vehicle keys, fuel cards, thermometers, and navigation equipment after each route.
• Take responsibility for assigned tasks and maintain required quality and productivity standards.
• Communicate appropriately with colleagues and employees and manage expectations.
• Report missed deadlines, potential risks, and operational issues to relevant parties.
• Support teamwork and contribute to achieving departmental targets.

Qualifications and requirements:

• Matric / Grade 12 certificate.
• Valid Code EB driver's licence.
• 2–3 years of experience in an administration or transport environment.
• Experience in an FMCG environment will be an advantage.
• SAP experience will be an added advantage.
• Knowledge of transport routes.
• Understanding of fleet performance standards and associated risks.
• Knowledge of relevant SAP modules.
• Good verbal and written communication skills.
• Computer literacy, particularly Microsoft Excel.
• Report-writing skills.
• Strong analytical thinking.
• Good numeracy skills.
• Organisational awareness.
