Mwanga Hakika Bank Limited is seeking a highly organized and professional individual for the position of Personal Assistant to Senior Executive. The role is responsible for providing comprehensive, confidential, and proactive administrative and secretarial support to the Managing Director while ensuring the smooth and efficient operation of the executive office.
The successful candidate will serve as an important liaison between the Managing Director, Board, regulators, internal departments, clients, and external stakeholders. Key Responsibilities
The successful candidate will:
- Provide comprehensive administrative, secretarial, and diary management support to the Managing Director.
- Manage and coordinate the Managing Director’s calendar, meetings, appointments, and engagements.
- Prioritize appointments and proactively resolve scheduling conflicts.
- Draft, proofread, and manage correspondence, reports, memos, and presentations on behalf of the Managing Director.
- Prepare meeting agendas and collate Board and executive meeting packs.
- Take accurate minutes during executive and Board-level meetings.
- Follow up on action points arising from meetings.
- Organize domestic and international travel arrangements, including itineraries, visas, accommodation, and transportation.
- Prepare travel-related expense reports.
- Handle sensitive financial, Human Resources, strategic, and other confidential information with discretion.
- Ensure compliance with the Bank’s confidentiality and data protection policies.
- Maintain secure and accurate physical and electronic filing systems for executive records, contracts, and correspondence.
- Serve as the first point of contact for internal departments, clients, regulators, and external partners.
- Ensure effective communication and timely follow-up on matters involving the Managing Director.
- Liaise with Compliance, Risk, Legal, and Finance departments to obtain information and documentation required by the Managing Director.
- Organize internal events, client functions, and off-site meetings.
- Manage office supplies and vendor relationships for the executive office.
- Perform any other duties assigned by the supervisor.
Qualifications and Requirements
Applicants should have:
- A university degree in Business Administration, Secretarial Studies, or a related field.
- A Diploma or Certificate in Business Administration or Secretarial Studies.
- Certification in Executive or Personal Assistant training is an added advantage.
- At least two to three years of experience as a Personal Assistant or Executive Assistant supporting senior management.
- Experience within the banking or financial services sector is preferred.
- Sound understanding of corporate governance and banking industry protocols.
- Proficiency in Microsoft Office Suite and banking systems or tools.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to multitask and work effectively under pressure.
- High levels of discretion, integrity, and professionalism when handling confidential information.
- Ability to remain calm under pressure.
