Job Description

The Association of African Higher Education Financing Agencies (AAHEFA) is a regional institution committed to strengthening higher education financing systems, enhancing institutional collaboration, and promoting efficient governance and administration across member agencies in Africa. Through strategic partnerships and capacity-building initiatives, AAHEFA supports sustainable development in the higher education sector.

AAHEFA is seeking an Assistant Finance and Administration Officer to support the organization’s daily administrative and operational functions. The role is essential in ensuring smooth office operations, effective record management, and efficient coordination of administrative processes that support overall institutional performance.

Responsibilities

  • Perform daily administrative tasks including filing, scanning, typing, and data entry (physical and digital records)
  • Serve as the first point of contact for visitors, callers, and general inquiries
  • Draft, review, and organize official correspondence such as emails, letters, and reports
  • Assist in scheduling appointments, meetings, and maintaining calendars
  • Prepare meeting agendas and take accurate minutes during meetings
  • Support logistics for workshops, seminars, and institutional events
  • Manage travel arrangements including flight bookings, hotel reservations, and related coordination
  • Oversee office supplies and ensure timely replenishment of materials
  • Support maintenance and servicing of office equipment
  • Assist in collecting quotations from suppliers and service providers
  • Maintain and update the fixed asset register
  • Assist in tracking staff leave records and attendance
  • Support general office administration and operational coordination

Qualifications Required

  • Bachelor’s degree in accounting, business administration, management, public administration, or a related field
  • At least 1 year of relevant experience or internship exposure in administrative or finance-related roles (added advantage)
  • Proficiency in QuickBooks Accounting Software and Microsoft Office Suite (mandatory)
  • Familiarity with cloud-based tools such as Zoho is an added advantage
  • Strong written and verbal communication skills in English
  • Strong multitasking, organization, and time-management abilities
  • Ability to handle confidential information with professionalism and integrity
  • Proactive and solution-oriented approach to administrative challenges
  • Strong attention to detail and accuracy in record keeping and documentation
  • Ability to work effectively in a fast-paced, team-oriented environment

General Conditions

  • Internship position based in Dar es Salaam, Tanzania
  • Employment terms subject to AAHEFA internship policy and organizational guidelines
  • Candidate will report to the designated supervisor within the finance and administration unit
