Job Description

Hannah Bennie School (HBS) was established to provide children in Kigamboni with access to high-quality English-medium education close to home. As the institution continues to expand its facilities and services, maintaining a safe, efficient, and well-managed physical environment remains essential to supporting academic excellence and student wellbeing.

To oversee the effective management of its infrastructure and support services, HBS is seeking an experienced and highly organized Facilities Manager. The successful candidate will be responsible for ensuring the optimal operation, maintenance, safety, and sustainability of all school buildings, grounds, utilities, and support systems while coordinating with various departments to maintain a high-quality learning environment.

Responsibilities:

  • Oversee the maintenance, security, and overall upkeep of all school buildings, grounds, facilities, and assets
  • Plan, coordinate, and supervise preventive and corrective maintenance programs for mechanical, electrical, plumbing, civil, and finishing works
  • Manage service contracts including cleaning, landscaping, pest control, waste management, generator maintenance, and water systems
  • Ensure compliance with OSHA, NEMC, fire safety regulations, environmental requirements, and other applicable standards
  • Maintain an accurate and up-to-date asset register and oversee property documentation and insurance records
  • Plan and execute minor renovations, refurbishments, repairs, and space-allocation projects
  • Prepare, manage, and monitor facilities budgets and operational expenditures
  • Track utility consumption and implement cost-control measures for electricity, water, fuel, and other services
  • Coordinate with security, transport, ICT, procurement, and administration teams to ensure smooth day-to-day operations
  • Conduct regular facility inspections and implement corrective actions where necessary
  • Manage vendor relationships, contractor performance, and service-level agreements
  • Develop and maintain facilities management policies, procedures, and maintenance schedules
  • Prepare operational, maintenance, compliance, and performance reports for management review

Qualification Required:

  • Bachelor’s Degree in Facilities Management, Civil Engineering, Estate Management, or a related field
  • Minimum of five years of experience managing facilities within a school, university, campus, hospital, or large commercial environment
  • Strong knowledge of building systems, maintenance planning, contracts management, and regulatory compliance requirements
  • Experience managing maintenance contractors, service providers, and facility support teams
  • Strong leadership, organizational, and vendor-management skills
  • Excellent problem-solving, analytical, and decision-making abilities
  • Advanced proficiency in Microsoft Office applications
  • Experience using Computer-Aided Facilities Management (CAFM) systems or maintenance management software is required
  • Strong communication and report-writing skills
  • High level of professionalism, accountability, and attention to detail
